Consulting and project management for the implementation of a TBMS

About Universitat de Barcelona
The Language Services at the Universitat de Barcelona are the department responsible for managing proofreading, translation and language support services for the entire university community. They operate in a high-volume, multilingual environment, coordinating internal and external resources to meet the university’s growing communication needs, ranging from institutional documentation to academic output.

The challenge
The Language Services at the Universitat de Barcelona managed their workflow using a bespoke solution developed in-house in previous years.
Over time, the system began to show increasingly obvious limitations: It was unable to keep pace with the growing volume of requests, did not allow for the flexible and effective management of multilingual projects, lacked modern integrations, and made collaboration between in-house technicians and external partners difficult.
The management of the Language Services had realised that a change of direction was needed, but found itself facing a complex challenge: to assess the options available on the market, choose the solution best suited to their needs and complete the transition without disrupting their day-to-day operations. Added to this were stringent compliance requirements, which made the project even more sensitive.
The solution
The Language Services at the Universitat de Barcelona appointed Marco Cevoli of Qabiria as a consultant throughout the entire process, from the initial analysis right through to the roll-out of the new system.
After evaluating the needs and analysing the solutions available on the market, the choice fell on TranslationProjex, a translation management system (TBMS) developed by the British company Strategic Agenda.
Marco Cevoli took on the role of liaison between Strategic Agenda’s technical team and the university staff, actively participating in coordination meetings both in person and online. This constant presence made it possible to translate the Language Services’ operational requirements into technical specifications that developers can understand, and to keep university staff informed of the progress of the work in a clear and timely manner.
The implementation took longer than expected due to the need to develop and test additional modules required by the university to meet its compliance requirements. The testing phase proved to be particularly complex and delicate, requiring iterative cycles of verification and adjustment.
Thanks to careful prioritisation and transparent communication between all parties involved, the project achieved its objectives without compromising either quality or regulatory compliance.
The result
Upon completion of the project, the University of Barcelona’s Language Services were provided with a modern, scalable TBMS system that complies with the institution’s regulatory requirements.
TranslationProjex replaced the old proprietary solution, providing staff with more efficient tools for managing translation projects, improved collaboration between professionals (both in-house and external) and complete visibility of workflows.
Language Services are now able to manage a growing workload with greater control and quality, using a platform on which they can continue to build in the long term.
